Mail Administration

Welcome to the Help page for your email system. Your online mail administration system allows you to create new pop accounts, forward email, delete accounts and much more 24x7x365.

Changes you make to your email will occur instantaneously, giving you greater control over your pop accounts.

With each new domain you host on your web server it will create a mail account for the corresponding domain. The master account will already be filled in, the domain name is the domain you have just hosted and the password is the same as the ftp of each particular domain you host.

Please see below for step-by-step instructions on using the mail admin system.

  • Start by opening the url below, you may wish to bookmark this for future use http://post.domain-name.com.
  • Once the page is displayed, type your domain and password in the fields provided.
  • You will be presented with a main menu, click on any link below for instructions on how to use each feature.

MAIN MENU



POP ACCOUNTS

Selecting this feature allows you to view/amend any existing pop accounts. You should see a list of your accounts, which you can browse through easily by using the Goto User search, or by searching alphabetically. This page also contains a link to "create a pop account" for instructions on how to do this see "New Pop Accounts".

MODIFY USER

You can choose to change the password on an account by simply clicking the red button under modify user,next to the account name you wish to make the amendment for. Next you will be presented with a box labeled "Modify User", type the new password you wish to use, and then re-type it to confirm in the field provided. The last box asks for the "Real Name" this can be your own name, the name of the person's account which you are modifying, or a comment. To submit this click the "change password" button and the changes will be made immediately, You will then be returned to the main menu with a confirmation message in the top left corner of the screen.

DELETE ACCOUNT

To remove a pop account from your records click the red button in the "Delete Account" column, next to the name of the account you wish to delete. You will now be given the choice of whether you wish to forward mail to another e-mail address. If you do then mark the "Forward Email" box and type in the e-mail address in the field below it (please note that this will not forward any existing mail in the account on, it will just try and create a forwarding to the e-mail address provided), If you do not wish to have the mail forwarded simply leave the selection blank. After you have made your choice click "Confirm Delete" which will remove the account from your records immediately, You will then be returned to the main menu which will display your confirmation message.

CATCH ALL ACCOUNT

By default the catch all mail option resides with the postmaster address, if you wish to alter this option simply click the red button under the "Catch All Account" heading, next to the name of the account that you wish to default all your e-mail to. The change will take place straight away, if you wish to ensure that your selection was successful, go back into "Pop Accounts" from the main menu, You should see the word "Default" next to the name of the account you chose. If you decide that you do not want any account to catch all mail by default then you can click on the link below the search bar entitled "Set no default catch all account".

FORWARDS/ALIASES

Clicking the "forwards/aliases" link from the main menu allows you to add, modify and delete the addresses that your mail is forwarded/aliasesed for. The forwards/aliases page also includes a link to "Add New Forward" and "Add New aliases" for instructions on how to use this please see "New Forwards"and "New Aliases".

MODIFY FORWARD ACCOUNTS

If you need to add another pop account or forwarding address to receive your mail, then click the red button under the "Modify" heading, next to the name of the account you wish to amend . You will now be presented with a box detailing the account you have chosen to amend, the addresses and accounts that it already points to, and a delete option. To delete an address simply click the red button next to it. You are also given the choice to add more accounts for your mail to be forwarded into from the drop down menu provided, once you have made your choice simply click "Add". The last field allows you to add any email addresses that you wish to be included in the forwarding list, again when you have finished click "Add" and the changes will be made to your account instantly.

MODIFY AN ALIAS

If you wish to modify an alias simply click the red button below the "Modify" heading, next to the alias name you wish to modify. This will bring you to a menu which provides a list of your aliases current settings and gives you the opportunity to change/add a pop account for which the alias is used for, as well as the option of adding forwarding addresses for your chosen alias.

To change/add a pop account for which your alias is used for go to "add new alias" then select the account that you wish the alias to be associated with, click "add" and the account will be added to the list of settings for your alias immediately. After this is done, you have the opportunity to either delete or keep the aliases account, If you wish to keep the account then simply return to the main menu via the link provided, However if you wish to delete the aliases previous account then click the red button next to the account name you wish to remove. You can also remove unwanted forwarding addresses for your aliases that you may have by doing the same next to the chosen email address. As you will see there is also an optional box called "Add Email Address" you may type any e-mail address that you wish to your aliases mail to be forwarded to, clicking the "Add" button will as before update your account instantly.

DELETE FORWARD/ALIASES ACCOUNTS

To remove a forwarding/aliases address an Pop account from your records, simply click the red button situated below the "Delete" column, next to teh chosen pop account name and forwarding/aliases details. You will now be presented with a box containing the forwarding details and a confirm button, however if you do not wish to continue then you can cancel the action via the "Main Menu" link.

MAIL ROBOT'S

Selecting the "Mail Robot's" link allows you to create a message, which is automatically sent out when you receive mail, e.g. You may create a message explaining that you are on holiday, So that each time you are emailed the sender is informed that you are away. The page that you will see displayed upon selecting the "autoresponders" link, is the page that you use to modify/delete your autoresponder messages and addresses. The page also contains a link to "Add New Mail Robot" for instructions on how to do this see "New Mail Robot".

MODIFY MAIL ROBOTS

If you wish to modify an mail robot simply click the red button below the "Modify" heading, next to the mail robot name you wish to modify. Next you will be presented with a table containing your current mail robot response message and the address to which it applies, you are now able to amend each field as you wish. You can change the name of the mail robot, the address, the subject and re-type the message that you want to be sent to anyone contacting your chosen address, Once you have finished simply click "Modify" and the changes will be made immediately, You will then be returned to the main menu with a conformation message in the top left corner of the screen.

DELETE MAIL ROBOT

To remove a mail robot from your account, simply click the red button situated below the "Delete" column, next to the chosen address/account name. You will now be presented with a box containing the mail robot's name and a "confirm delete" button, If you are sure that you want to proceed then click the confirm button, however if you do not wish to continue then you can cancel the action via the "Main Menu" Link.

MAILING LISTS

Choosing the "Mailing Lists" option is the quickest way to send out an email to a list of subscribers. The mailing list function also allows you to empower selected people to be Moderators. The page also contains a link to "New Mailing List" for instructions on how to do this see "New Mailing Lists".

DELETE

Clicking the red "delete" button next to the mailing list name of your choice, gives you the option of removing that particular list. You will then be presented with a box containing the Mailing list name and a "confirm delete" button, If you are sure that you want to proceed then click the confirm button, however if you do not wish to continue then you can cancel the action via the "Main Menu" Link.

ADD SUBSCRIBER
Clicking the red "Add Subscriber" button, allows you to add another email address to your chosen mailing list. Once you have clicked on the "Add Subscriber" button you will be faced with a box containing a field in which you enter in new email address, once you have done this click "Add" and the person whose email you have entered will immediately become a subscriber.

DELETE SUBSCRIBER

You can easily remove addresses from your mailing list by clicking the red button under the "Delete Subscriber" column, next to the mailing list of your choice. This will bring you to a box in which you must type the name of the address you wish to remove, and then click "delete". The address will be removed immediately, and you will be returned to the main menu with a conformation message.

SHOW SUBSCRIBERS

If you wish to view who is currently subscribed to your mailing list, simply click the red button under the "Show Subscribers" column next to your chosen mailing list and a page will display any addresses you have attached to your mailing list.

ADD MODERATOR

Clicking the red "Add Moderator" button, allows you to add another email address to your chosen list of people empowered to make amendments to your mailing list. Once you have clicked on the "Add Moderator" button you will be faced with a box containing a field in which you enter in a new email address, once you have done this click "Add" and the person whose email you have entered will immediately become a Moderator.

DELETE MODERATOR

You can easily remove a moderator by clicking the red button under the "Delete Moderator" column, next to the mailing list of your choice. This will bring you to a box in which you must type the name of the address you wish to remove, and then click "delete". The address will be removed immediately, and you will be returned to the main menu with a conformation message.

SHOW MODERATOR

If you wish to view who is currently classed as a moderator, simply click the red button under the "Show Moderators" column next to your chosen mailing list and a page will display any addresses you have selected.

MAIN MENU



NEW POP ACCOUNTS

If you want to quickly set up a new Pop Account then click on the link entitled "New Pop Accounts" You will then be required to fill in the following fields:

Pop Account - In this field you need to enter the name of the Pop Account, this could be something general e.g. Info, or a department name e.g. Sales, admin etc or a person's name. You do not need to put "@yourdomain.co.uk" as you are allready logged in as your domain.

Password - It is important that you choose a password that is easy to remember (yet still unique enough to provide a higher level of security), as whatever you enter into this field will be the password the computer will ask for each time you log on to view your mail.

Password (Again) - Re-type your chosen password.

Real Name - This can be your own name, the name of the person the pop account is for, or the department the account belongs to, or any other comment.

You will then be asked whether you wish your new Pop account to be subscribed to any mailing lists, If you do then simply click into the boxes next to the mailing lists names that you wish to subscribe to. After this is done click "Add" which will complete the process and add a new pop account to your records immediately. You will then be returned to the main menu, which will display your conformation message.

NEW ALIASES

To add a new alias quickly and easily, just click on the link "New Aliases". Clicking this link will produce a box, from which you will need to select the Pop account that you wish the alias to be assigned to using the drop down menu provided. After you have done this, simply type the name of the alias you wish to use in the field provided and click "Add" to complete the action. Once again you will be returned to the main menu, which will display your conformation message, and your account details will be amended instantly.

NEW FORWARDS

To add a new forwarding address/account, just click on the "Add New Forwards" link, which will take you to a box asking for the "forward email address", the address you wish your mail to be forwarded from, and the "Local Name" which is the pop account name that mail should be forwarded to. Once you have made your selections, click "Add" to complete the action. Once again you will be returned to the main menu, which will display your conformation message, and your account details will be amended instantly.

NEW MAIL ROBOT

Selecting the "New Mail Robot" link allows you to create a message which is automatically sent out when you receive mail, e.g. You may create a message explaining that you are on holiday, So that each time you are emailed the sender is informed that you are away. Once you have clicked this link you will be presented with a table asking you to fill in the following fields, "Mail Robot Name" this should be the name of the person who the is being set up for. The next field is "Owner Email Address" this should be the persons email address, the next field "Subject" should be a summary of the message e.g. Holiday. In the last box you need to compose the message that you wish people to receive, if they mail the fore mentioned person. Once this is done, simply click "Add" and the mail robot will be added to your records immediately.

NEW MAILING LISTS

To start a new mailing list, just click the quick link "New Mailing Lists", You will now be asked for the name that you wish your new mailing list to go under, once this is typed in click "Add" to confirm, which will complete the process and add a new mailing list to your records immediately. You will then be returned to the main menu, which will display your conformation message. Please note, You will have noticed that there are different options to pick via radio buttons on the "New Mailing List" page, Please ignore these, by default "Archived" and "Respond to administrative requests and allow archive retrieval" will always be selected.
